Dosing Procedures

Different dosing procedures are presented below showing specific dosing scenarios using a variety of system functionality, preference settings, and peripheral hardware integrations. One or more of these procedures will apply to dosing in your facility, depending on your Methasoft configuration, hardware, and policy and procedures. Refer to the Dose Patient topic for detailed information about the Dose Patient screen and the general dosing procedure.

 

Dosing by Hand

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Since dosing is done by hand, it is especially critical that the information presented on the Dose Patient screen is reviewed for each patient's dosing transaction. This is to ensure that the medication being physically dispensed is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. The 'Patient Dose Completed Successfully' pop-up window will appear as shown below, confirming the dosing transaction was recorded in Methasoft.

 

 

5.) Most facilities will hand pump the dose(s) and give them to the patient at this point.

 

6.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing by Hand and Dispensing Other Medications

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Since dosing is done by hand, it is especially critical that the information presented on the Dose Patient screen is reviewed for each patient's dosing transaction. This is to ensure that the medication being physically dispensed is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. The 'Select Other Medications to Dispense' application window will appear displaying the additional medications being dispensed to the patient.

 

 

5.) Ensure that each additional medication being dispensed has been checked in the 'Dispense' column. Adjustments can be made if needed to any of the data in the 'Drug Type', 'Dose Type', and 'Units' columns prior to clicking Dispense. If for any reason a patient's normal additional medications are not being dispensed, press the Skip button and the 'Select Other Medications to Dispense' window will close without recording the dispensing of additional medications. *See the Other Medication Information topic for more information.

 

6.) Once the 'Select Other Medications to Dispense' window is closed, the 'Patient Dose Completed Successfully' window will appear confirming the dosing transaction was recorded in Methasoft.

 

 

5.) Most facilities will hand pump the dose(s) and give it to the patient at this point.

 

6.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing Using an Automated Dispensing Pump

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Always review the information presented on the Dose Patient screen for each patient and dosing transaction, this will help ensure that the medication being physically dispensed out of the methadone pump is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. If takeout dosing labels are needed, they will print off at the configured dosing label printer. The 'Pump Dispense' application window will appear for dispensing the patient's medication (the patient's window dose and/or takeout doses).

 

 

5.) Click on Pump Dose to dispense each dose displayed in the grid, one at a time. Once all doses have been dispensed, the Finished button will become enabled, and the 'Overall Progress' bar will display at as full (100%).

 

 

6.) Click on Finished.  The 'Patient Dose Completed Successfully' window will appear confirming the dosing transaction was recorded in Methasoft.

 

 

7.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing Using an Electronic Signature Pad

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

4.) Click on Dose + Labels or Dose Patient. If takeout dosing labels are needed, they will print off at the configured dosing label printer. The 'Signature Capture' pop-up window will appear, at the same time, a summary of the dosing transaction being recorded appears on the signature pad for the patient to review. When the patient signs the signature pad, the signature will appear on the Signature Capture window for review.

 

 

 

Alternatively, enabling a Pharmacy Preference will display the Signature Capture on the 'Pump Dispense' screen.

 

 

5.) Click the Accept button to accept the signature and proceed with the dosing transaction. Clicking Clear will clear the patient signature for the patient to sign again if the first signature is unacceptable. (These buttons are not available when the Signature Capture is displayed on the 'Pump Dispense' screen'.) The patient's captured signature will appear on the Total Dispensed by Day report.

 

6.) Follow the appropriate dosing procedure above to complete the dosing transaction. The 'Patient Dose Completed Successfully' window will appear confirming the dosing transaction was recorded in Methasoft.

 

 

6.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing Using an Biometric Fingerprint Reader

 

 

NOTE: The use of Biometric fingerprint readers requires detailed system preference settings and configurations, including the installation of hardware, drivers and the rebooting of the Methasoft server and client computers. Contact Methasoft Support for more information on having Biometric Preferences enabled.

 

1.) In facilities where the Biometric Preference is set for the clinic to use a fingerprint reader on dosing screens, the 'Identify Patient' button can be used to retrieve the patient on the 'Dose Patient' screen. Otherwise, retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

Using the 'Identify Patient' button:

a.) Click the 'Identify Patient' fingerprint button to the left of the 'Patient ID' field.

 

b.) The 'Identify' pop-up window will appear. A patient with previously enrolled biometrics can press their enrolled finger to the biometric fingerprint reader. *See the Patient Profile topic for more information on enrolling biometrics.

   

c.) The patient matching the fingerprint pressed to the biometric reader, will be retrieved into the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Always review the information presented on the Dose Patient screen for each patient and dosing transaction, this will help ensure that the medication being physically dispensed out of the methadone pump is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. If takeout dosing labels are needed, they will print off at the configured dosing label printer. The 'Fingerprint Verification' pop-up window will appear.

 

5.) The patient will verify their identity by pressing their previously enrolled fingerprint to the biometric reader. The pop-up box will disappear and the dosing transaction will continue.

 

 

6.) Follow the appropriate dosing procedure above to complete the dosing transaction. The 'Patient Dose Completed Successfully' window will appear confirming the dosing transaction was recorded in Methasoft.

 

 

6.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing from Unit Inventory at Patient Level

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Always review the information presented on the Dose Patient screen for each patient and dosing transaction, this will help ensure that the medication being physically dispensed out of the methadone pump is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. If takeout dosing labels are needed, they will print off at the configured dosing label printer. The 'Inventory Select Units' window will appear as shown below for selecting pre-poured unit doses to dispense to the patient.

 

 

5.) Find and select a specific unit from the 'Available Units' grid on the left.

 

6.) Click on Select-->.  Repeat this until all units being dispensed to the patient appear in the 'Selected Units' grid.

 

7.) (Optional) Click on Select All-->.  The system will recognize the number of units needed for the dosing transaction and will automatically select the next available units and move them into the 'Selected Units' grid.

 

8.) Once all needed units are selected, the Dose Patient button will become enabled.

 

9.) Click on Dose Patient. The 'Patient Dose Completed Successfully' window will appear confirming the dosing transaction was recorded in Methasoft.

 

 

7.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing from Unit Inventory at the Summary Level

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Always review the information presented on the Dose Patient screen for each patient and dosing transaction, this will help ensure that the medication being physically dispensed out of the methadone pump is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. If takeout dosing labels are needed, they will print off at the configured dosing label printer. As long as unit doses for the selected patients Drug/Dose Type are currently in inventory for the amount of mgs the patient is set to receive (as stored on Dosing Information), then the 'Patient Dose Completed Successfully' window will appear confirming the dosing transaction was recorded in Methasoft.

 

 

If there is insufficient unit inventory to fulfil the patients dosing transaction, a 'Netalytics System Message' window will appear. Click OK to close the window and review the clinics unit inventory using the unit specific menu items under the Inventory menu. Verify there are units created in the system for the selected patients Drug/Dose type combination and the patients primary dosage amount.

 

 

5.) Click Ok on the 'Patient Dose Completed Successfully' window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.

 

 

Dosing from Unit Inventory using a Barcode Scanner

 

 

1.) Retrieve the patient to be dosed on the Dose Patient screen, either by selecting the patient from the 'Dosing Queue' or using the 'Patient ID' field.

 

2.) If the 'Flag Messages' window appears, address the patients flags and scheduled event flags as needed (Refer to the Flag Messages topic for detailed instructions).

 

3.) If the 'Order Approval' window appears, address all orders as needed (Refer to the Order Approval topic for detailed instructions). This window will only appear in facilities using the 'Pending' order scenario (Refer to the Orders Overview topic for details).

 

Once items on the 'Flag Messages' window and/or 'Order Approval' window have been addressed and these windows are closed, the patient will be retrieved on the Dose Patient screen displaying how much medication the patient is scheduled to receive today.

 

Always review the information presented on the Dose Patient screen for each patient and dosing transaction, this will help ensure that the medication being physically dispensed out of the methadone pump is recorded in the system accurately.

 

4.) Click on Dose + Labels or Dose Patient. If takeout dosing labels are needed, they will print off at the configured dosing label printer. The Inventory Select Units window will appear similarly to the 'Dosing from Unit Inventory' procedure above.

 

5.) Physically remove the unit doses from the safe and scan each unit dose using your barcode scanner. As unit doses are scanned they will be removed from the 'Available Units' grid and added to the 'Selected Units' grid as shown below.

 

 

6.) Click on Dose Patient.  The Patient Dose Completed Successfully window will appear as shown below, confirming the dosing transaction was recorded in Methasoft.

 

 

7.) Click Ok on this confirmation window to return to the Dosing Queue, or to the Dose Patient screen if the Dosing Queue is not being used at your facility.
