Drug Code Mappings

Administration > Inventory Setup > Drug Code Mappings

 

Under the Administration menu in Methasoft, there is a sub-menu labeled 'Inventory Setup'. Under the Inventory Setup sub-menu, the Drug Code Mappings menu item opens the Drug Code Mappings screen. This screen allows users to store and edit Drug Code Mapping data records for each Drug Type/Dose Type combination (Inventory Dispensing Rules) dispensed. It's recommended that users have a basic understanding and knowledge of national drug codes (NDC) before using this screen. This screen provides the following features:

 

 

Field Descriptions

 

Description

This field displays the user entered text description of the drug code record.

Drug Code Type

This field contains a dropdown menu of drug code mapping types. Drug Code Mapping Types can be added to using the Code Table screen, found under the Administration menu.

Dispensing Rule

This field contains a dropdown menu of available Inventory Dispensing Rules. These rules are created using the Drug Type, Dose Type, and Inventory Dispensing Rules screens, found in the Inventory Setup sub-menu, under the Administration menu.

Drug Code

This field displays the user entered, drug type specific, code. The codes entered here are typically universal and industry standard NDC (National Durg Codes) codes. *Click here for more information on NDC codes.

Drug Code Qual

This field contains a dropdown menu of drug code qualifier types. The option selected here indicates the drug code format being used for this record. The drug code qualifier selected will appear in loop 2410 of the 837P export file if the record is associated with a bulk bottle from which a bulk dose is dispensed or unit dose originated.

Drug Code Unit Price ($ Charge)

This field contains the user defined unit price amount to be charged for this drug code record. The amount entered here will appear in the CTP segment in loop 2410 of the 837P export file if the Drug Code Mapping record is associated with a bulk bottle from which a bulk dose is dispensed or unit dose originated.

Drug Code Qty

This field displays the user entered drug code quantity amount. The amount entered here will appear in the CTP segment in loop 2410 of the 837P export file if the Drug Code Mapping record is associated with a bulk bottle from which a bulk dose is dispensed or unit dose originated.

Drug Code Measure Qual

This dropdown menu contains a list of codes that correspond with units of measure for the drug code mapping record. The code selected will appear in the CTP segment in loop 2410 of the 837P export file if the Drug Code Mapping record is associated with a bulk bottle from which a bulk dose is dispensed or unit dose originated.   

Use as Default Code on Add Bulk Inventory

This checkbox option indicates whether the drug code mapping record will be used as the default drug code for that inventory dispensing rule (drug/dose type). When adding inventory using the Add Bulk Inventory screen, found under the Inventory menu, this code will be used by default if the option is checked.

 

Grid Columns

 

Description

This column displays the user entered descriptive text for the drug code mapping record.

Dispensing Rule

This column displays the selected Inventory Dispensing Rule for the mapping record.

Code Type

This column displays selected drug code type.

Drug Code

This column displays the user entered NDC drug code.

 

Command Buttons

 

New

Clicking this button makes the drug code mapping properties available to be edited so that a new mapping record can be created.

Edit

Once a mapping record has been selected from the grid, clicking this button enables the drug code mapping properties to be edited.

Delete

After selecting an existing drug code mapping record from the grid, clicking this button will permanently delete the record.

Save

Clicking this button will save new or edited drug code mapping record changes.

Cancel

When creating a new or editing an existing mapping record, clicking this button will remove any changes made to the record.

Close

This button will close the drug code mappings screen.

 

Procedures

How to Add a New Drug Code Mapping Record

 

1.) Press the New button.

 

2.) Enter a descriptive title of the drug code mapping record into the 'Description' field.

 

3.) From the dropdown menu, select a 'Drug Code Type'.

 

4.) From the dropdown menu, select the dispensing rule that the drug code record will be associated with.

 

5.) Enter the drug code for the drug/dose type into the 'Drug Code' field.

 

6.) (Optional) Choose a drug code qualifier from the 'Drug Code Qual' dropdown menu.

 

7.) (Optional) Enter the drug code unit price.

 

8.) (Optional) Enter the drug code quantity in to the 'Drug Code Qty' field.

 

9.) (Optional) Select a drug code measure qualifier from the 'Drug Code Measure Qual' dropdown menu.

 

10.) (Optional) If the drug code mapping record being creating is to be used as the default for the associated inventory dispensing rule, then check the box for 'Use as default Drug Code on Add Bulk Inventory'.

 

11.) Click on Save.

 

 

 

How to Edit a Drug Code Mapping Record

 

1.) Select the drug code mapping record to be edited on the grid.

 

2.) Press the Edit button.

 

3.) Make changes as needed to the properties of the record.

 

4.) Press the Save button.

 

 

How to Delete a Drug Code Mapping Record

 

1.) Select the drug code mapping record to be deleted on the grid.

 

2.) Press the Delete button.  A 'Please Confirm Delete' application message will appear asking, 'Are you sure you want to delete this item?'

 

3.) Press the Yes button to delete the record or No to cancel.

 

 

Considerations

 

Use as Default Drug Code on Add Bulk Inventory

Use caution when checking this option for a drug code mapping record. With this option checked, the drug code entered will always be attached to the selected inventory dispensing rules drug/dose type when inventory is added into the system. If the inventory being added comes from a different manufacture, the NDC drug code will be different. The drug code associated with each bottle can be changed using the Add Bulk Inventory screen.

 

Export Drug Code Data for Dosing Services

Functionality has been added for billing export, allowing users to export Drug Code data for each service line on generated 837P files. A new field called 'Export Drug Code / UPN data for Dosing Services' has been added to the Billable Service Additional Information screen. This screen is accessed by pressing the button on the Billable Services screen. By default, this setting is set to 'No', in which case no Drug Code data is exported for the selected service.
