Exception Tracking

The Exception Tracking menu item on the Medical menu launches the Exception Tracking screen, which is used to document any type of special exception or exemption status for each patient.  Exceptions can include State, Medical or other Exemptions for patients with hardships to reduce attendance requirements, or to bypass any standard program, state, or accreditation requirements when beneficial for a patient's treatment.

 

 

Field Descriptions

 

Exception Type

The type of exception being entered is selected in this field.  Available selections include all entries in the 'Exception Tracking Types' code table, found on the Code Tables screen.

Expiration Date

The date on which the exception will expire is selected in this field.

Comments

A detailed description of the exception, or any additional notes or comments regarding the exception is entered in this field.

 

Grid Columns

 

Exception Type

This column displays the 'Exception Type' selected for each exception entry.

Expiration Date

This column displays the 'Expiration Date' selected for each exception entry.

Comments

This column displays any 'Comments' entered for each exception entry.

Entered By

This column displays the User ID of the user who recorded each exception in the system.

 

Procedures

How to Add an Exception

 

1.) Click on New.

 

2.) Select the type of exception being entered in the 'Exception Type' field.

 

3.) Select the date the exception will expire in the 'Expiration Date' field.

 

4.) (Optional) Enter any additional information regarding the exception in the 'Comments' field.

 

5.) Click on Save.

 

 

How to Edit an Exception

 

1.) Select the exception to be edited on the grid.

 

2.) Click on Edit.

 

3.) Make changes as needed to data in the detail information fields.

 

4.) Click on Save.

 

 

How to Delete an Exception

 

1.) Select the exception to be deleted on the grid.

 

2.) Click on Delete.  A 'Delete this Record?' application message will appear, confirming you want to delete the selected exception.

 

3.) Click on Yes to delete the exception or No to cancel.

 

 

Considerations

 

Exceptions Entered on this Screen Are Generally Long-Term

Usually exceptions entered on this screen are documenting long-term exceptions to accommodate extenuating medical, financial, or other patient hardships.  Special Takeout orders, for example, are generally not considered an exception to be entered on this screen, since they accommodate only one dosing visit.
