Time Tracking

The Time Tracking menu item on the Other Activities menu launches the Time Tracking screen, which allows users to record the time they have worked in Methasoft by entering the hours and minutes worked each day.  This provides administrators with a time tracking tool either using this screen or related reports.  These values can also be used to calculate Productivity values by comparison of the time worked to billable session times, as is presented on the Daily Activity report.

 

 

Field Descriptions

 

User

This field is used for selecting the User for whom to record a time tracking entry.  The logged-in user's name will appear in this field by default.  For users without access to other users' timesheets (dictated by the related 'Other' security setting), this field is disabled and will only allow the user to record their own time tracking entries.

Start Date

By default this field will display the date of the recent Monday, so that when the screen is opened time tracking entries are only displayed for the current work week.  However this date can be overridden so that pressing the Refresh button will retrieve only time tracking entries with Work Dates on or after the date selected here.

End Date

By default this field will display current date, so that when the screen is opened time tracking entries are only displayed for the current work week through today's date.  However this date can be overridden so that pressing the Refresh button will retrieve only time tracking entries with Work Dates on or before the date selected here.

Total Hours

This field displays the total number of hours appearing on the grid for the selected User and date range, rounded to one decimal place.

Work Date

The field is used for selecting the date on which the time was worked.

Hours Worked

This field is used for entering the number of hours worked on the selected date.

Minutes Worked

This field is used for entering the number of minutes worked on the selected date.

Site

This field is used for selecting the Site at which the time was worked on the selected date.  For Methasoft users, only the Home Site will be available for selection in this field.

Comment

This field is used for entering any additional comments regarding the time tracking entry/work shift.

 

Grid Columns

 

Work Date

This column displays the selected Work Date value for each time tracking entry.

Hours

This column displays the entered Hours Worked value for each time tracking entry.

Minutes

This column displays the entered Minutes Worked value for each time tracking entry.

Entry Date

This column displays the date on which each time tracking entry was entered.

Comment

This column displays the entered Comment text for each time tracking entry.

Site Name

This column displays the selected Site for each time tracking entry.

 

Command Buttons

 

Refresh

Pressing this button refreshes the grid to retrieve and display time tracking records for the User, Start Date, and End Date selected.

 

Procedures

How to Add a Time Tracking Entry

 

1.) Click on New.

 

2.) Select the date for which time is being entered in the 'Work Date' field.

 

3.) (Optional) Enter the number of hours worked in the 'Hours Worked' field.

 

4.) (Optional) Enter the number of number of minutes worked in the 'Minutes Worked' field.

 

5.) Select the site at which the time was worked in the 'Site' field.

 

6.) (Optional) Enter any additional comment text for the time tracking entry as needed in the 'Comment' field.

 

7.) Click on Save.

 

 

How to Edit a Time Tracking Entry

 

1.) Select the time tracking entry to be edited on the grid.

 

2.) Click on Edit.

 

3.) Make changes as needed to data in the detail fields for the selected time tracking entry.

 

4.) Click on Save.

 

 

How to Delete a Time Tracking Entry

 

1.) Select the time tracking entry to be deleted on the grid.

 

2.) Click on Delete.  An 'Are you sure?' application message will appear, confirming you wish to delete the selected authorization.

 

3.) Click on Yes to delete the authorization or No to cancel.

 

 

 

Considerations

 

Multi-Site Functionality

The 'Site' field on this screen appears in light of Multi-Site functionality implemented for the Counselor module.  For Methasoft users, only the Home Site will appear as an available selection in this field.
