User Email Setup

The User Email Setup menu item on the Other Activities menu launches the Email Setup Information window, which is used to enter external email account information in Methasoft, allowing Methasoft email messages to be sent to external email addresses. Email messages are sent to external email accounts via SMTP (Simple Mail Transfer Protocol). Each Methasoft user must set up information on this window to have the ability to send messages to external accounts from the Compose Mail window.

Fields Descriptions

Email User Name

This field is used for entering the user name the user uses to access an external email account. Often this user name matches the external account's email address.

Email Password

This field is used for entering the password the user uses to access an external email account.

Email Address

This field is used for entering the email address of the external email account being configured.

Outgoing SMTP Server

The field is used for entering the location of the external email account's mail server, which generally follows the format of 'mail.domain name.com'

Procedures

How to Setup External Email Account Information for Each User
1.) Enter the external email account user name in the 'Email User Name' field. Generally the user name is simply the external email address for the account. 2.) Enter the password needed to access mail on the external email account in the 'Email Password' field. This password is the password required for the user to check her external email account on the internet mail server. 3.) Enter the external account's email address in the 'Email Address' field. 4.) Enter the location of the external account mail server in the 'Outgoing SMTP Server' field. Generally this follows the format of 'mail.domain name.com'. 5.) Click on Save. This will close the Email Setup Information window. The 'External Email Address' field will now be enabled for the logged in user on the Compose Mail window.

How to Edit External Email Account Information for Each User
1.) Make changes as needed to data in the 'Email User Name', 'Email Password', 'Email Address', and/or 'Outgoing SMTP Server' fields as needed. 2.) Click on Save. This will close the Email Setup Information window.

Considerations

External Email Messages Cannot Be Received From Within Methasoft

This window is used for setting up the ability to send Methasoft email messages to external email addresses (accounts). Currently the system will not receive any email messages from external accounts.
