Patient ID Administration

The Patient ID Administration menu item on the Administration menu launches the Patient ID Administration screen, which is used to edit, reactivate or deactivate patients, and delete or undelete patient ID numbers.  The primary use for this screen is editing Patient IDs which have been entered incorrectly.

 

 

Field Descriptions

 

Current Patient ID

This field displays the current 'Patient ID' number of the selected patient.

Patient Name

This field displays the name of the selected patient in First Name, Last Name format.

New Patient ID

This field is used for entering the patient's new ID number, which will be the patient's new 'Patient ID' on the Patient Profile screen.

Include Inactive Patients

Checking this checkbox will refresh the grid and expand it to display all inactive patients as well.  Inactive patients do not have a checkmark in the 'Active' field on the Patient Profile screen.

View Deleted Patients (Must also check Include Inactive)

Checking this checkbox will refresh the grid and expand it to display all patients previously deleted on this screen as well.  Deleting a patient on this screen only 'soft-deletes' the patient, meaning the patient can be restored, or undeleted if necessary.  Since deleted patients are automatically inactive, the 'Include Inactive Patients' checkbox must also be checked for deleted patients to appear on the grid.

 

Grid Columns

 

SSN

This column displays each patient's 'SSN' (Social Security Number) as entered on the Patient Profile screen.

Birthdate

This column displays each patient's 'Birth Date' as entered on the Patient Profile screen.

Gender

This column displays each patient's 'Gender' as entered on the Patient Profile screen.

Active

This column displays a checkmark for each patient who is currently active in Methasoft.

Deleted

This column displays a checkmark for each patient who has been deleted on this screen.

 

Command Buttons

 

Delete/Undelete

Once a patient has been selected on the grid, pressing this button will delete the selected patient ID number.  If a deleted patient is selected, pressing this button will undelete and restore the selected patient ID number.

Inactivate/Activate

Once a patient has been selected on the grid, pressing this button will deactivate the selected patient.  If an inactive patient is selected, pressing this button will reactivate the patient.

 

Procedures

How to Change a Patient's ID Number

 

1.) Select the patient ID number to be edited on the grid.

 

2.) Click on Edit.

 

3.) Enter the patient's new ID number in the 'New Patient ID' field.

 

4.) Click on Save.  The grid will refresh and display the patient's new ID number.

 

 

How to Deactivate a Patient ID

 

1.) Select the active patient to be deactivated on the grid.

 

2.) Click on Inactivate.

 

 

How to Reactivate a Patient ID

 

1.) Check the 'Include Inactive Patients' checkbox at the bottom of the screen.

 

2.) Select the inactive patient to be reactivated on the grid.

 

3.) Click on Activate.

 


How to Delete a Patient ID

 

1.) Select the patient ID number to be deleted on the grid.

 

2.) Click on Delete.

 

 

How to Restore (Undelete) a Patient ID

 

1.) Check the 'Include Inactive Patients' and 'View Deleted Patients' fields at the bottom of the screen.

 

2.) Select the deleted patient to be restored on the grid.

 

3.) Click on Undelete.

 

 

Considerations

 

A Deleted Patient ID Cannot Be Used For Another Patient

Each patient in Methasoft must have a unique Patient ID even if the patient has been inactivated or deleted.  If your facility needs to reuse a patient ID, you will have to un-delete the patient and change the original patient's ID.

This Screen Can Be Used to Quickly Find the Next Available Patient ID Number to Use for New Admissions

Many facilities use this screen to quickly find the next available 'Patient ID' to use for a new admission being entered for the first time on the Patient Profile screen.  By selecting the 'Include Inactive Patients' and 'View Deleted Patients' fields at the bottom of the screen, users can quickly scroll to the bottom to view the highest alphanumeric number currently assigned to a patient in the system.
